    About Walther Ventures

Walther Ventures, LLC (www.waltherventures.com) is a growing entrepreneurial family business that owns and supports multiple businesses across a variety of industries, including professional coaching, consulting, education, real estate, events, and digital products. Unlike a traditional corporate environment, our work is fast-paced, varied, and entrepreneurial. Every week brings new projects, new challenges, and opportunities to improve systems that support long-term growth.

We are seeking a highly organized Executive Assistant to work directly with the CEO of Walther Ventures. This is not a traditional executive assistant position focused solely on calendars and travel arrangements. Instead, this role serves as a trusted administrative and operational partner, helping keep multiple businesses organized while ensuring that important projects continue moving forward.

If you enjoy bringing order to complexity, solving problems, improving systems, and supporting entrepreneurs behind the scenes, this may be an excellent opportunity.

    Position Overview

The Executive Assistant reports directly to the CEO of Walther Ventures and provides administrative and operational support across Walther Ventures and its subsidiaries.

Initially, this position does not supervise other staff members. However, as Walther Ventures continues to grow, there may be opportunities for increased responsibility and leadership.

This position can be fully remote, and qualified applicants from anywhere within the United States are encouraged to apply. Candidates located in the Greater St. Louis area may also have opportunities for occasional in-person work as business needs arise, though in-person availability is not required for this position.

    Primary Responsibilities

Responsibilities will evolve over time, but may include:

    Executive Administration

    • Manage and organize executive email correspondence.
    • Draft professional emails and other written correspondence.
    • Prioritize incoming requests and identify items requiring executive attention.
    • Monitor calendars and assist with scheduling.
    • Organize digital files and documentation.
    • Track deadlines and follow-up items.

    Business Operations

    • Assist with bookkeeping administration using Xero.
    • Help reconcile financial accounts and organize financial documentation.
    • Coordinate billing and invoicing between Walther Ventures, its subsidiaries, and external organizations.
    • Track recurring expenses and administrative tasks.
    • Assist with vendor communication and coordination.

    Project Coordination

    • Track multiple ongoing business projects simultaneously.
    • Maintain project lists and next-action items.
    • Follow up with vendors, accountants, contractors, and other business partners.
    • Help ensure projects continue moving forward without requiring constant executive oversight.

    Corporate Administration

    • Assist with insurance renewals, business filings, licenses, and corporate records.
    • Coordinate with accountants, attorneys, banks, and other professional service providers.
    • Maintain organized records across multiple business entities.

    Property Administration

    • Coordinate communication with property managers, contractors, warranty providers, and service vendors.
    • Track repairs, maintenance requests, and related documentation.

    Systems Improvement

    • Help document recurring business processes.
    • Recommend improvements that increase efficiency and reduce administrative burden.
    • Assist in building sustainable systems that support future growth.

    The Ideal Candidate

The ideal candidate is someone who:

    • Is exceptionally organized.
    • Pays close attention to detail.
    • Exercises good judgment.
    • Communicates professionally in writing.
    • Enjoys solving problems independently.
    • Learns new software quickly.
    • Thrives in an entrepreneurial environment where every week is different.
    • Anticipates needs before being asked.
    • Takes pride in helping others succeed behind the scenes.
    • Is trustworthy and able to handle confidential business information with discretion.

    Preferred Qualifications

While not required, preference may be given to applicants with experience in one or more of the following:

    • Executive assistant or administrative support
    • Small business administration
    • Bookkeeping or financial administration
    • Xero accounting software
    • Google Workspace
    • Project coordination
    • Vendor management
    • Property management
    • Supporting entrepreneurs or small business owners
    • Technology Requirements

    Applicants should have:

    • A reliable personal computer
    • Reliable high-speed internet
    • Comfort using Google Workspace and cloud-based software
    • The ability to quickly learn new technology platforms

    Schedule & Compensation

This position begins as an independent contractor engagement.

Approximately 5 hours per week during the introductory engagement.
    Compensation is $18.00 per hour.

Work may generally be completed on a flexible schedule, although applicants should be reasonably responsive during normal business days and communicate promptly regarding ongoing projects.

The selected candidate should expect to remain engaged throughout the week rather than completing all work in a single block of time.

Following successful completion of the introductory engagement, Walther Ventures and the selected candidate will evaluate the long-term structure of the role. Depending on organizational needs and the candidate’s preferences, there may be opportunities for increased hours, expanded responsibilities, and consideration of a transition to a part-time employee position.

    Success in This Role

Within the first six months, the successful candidate will:

    • Become a trusted administrative partner to the CEO.
    • Keep executive correspondence organized and current.
    • Ensure important projects continue moving forward without constant reminders.
    • Help maintain accurate financial and administrative records.
    • Build systems that improve the efficiency and organization of Walther Ventures.
    • Reduce the CEO’s administrative workload, allowing greater focus on strategic growth and business development.

    Hiring Timeline

Priority Consideration Deadline: July 21, 2026
    Interviews: Late July
Target Start Date: August 3, 2026
Applications received after July 21 may be considered until the position is filled.
