Job Title: Bookkeeper Seniority: Mid-Level/pay commensurate with experience Hours: Part time (20 hours a week)/on site only/non-exempt Location: Walnut Creek California
Essential Job Functions:
Finance and Accounting • Ensure that all accounts and ledgers are balanced and maintained according to the standards and procedures established by the Diocese • Record all receipts and disbursements in Quickbooks • Record all financial transactions of cash, checks, receipts and disbursements ensuring accuracy and proper accounting from weekly and special collections • Ensure all donations are accurately recorded in the PDS system • Reconcile all bank accounts • Manage and reconcile receipts and allocation stipends and compensation for Clerical Staff • Produce monthly statements for of Actual versus Budget for distribution to the Clerical and Finance Council and for inclusion in the weekly bulletin. • Prepare annual budget and capital spending for approval by the Finance Council and submission to the Diocese office • Maintain Fixed Asset schedule and depreciation • Track and Process all vendor payments • Maintain vendor tax status and prepare 1099's • Reconcile and record all stipend receipts and compensation for clerical staff • Reconcile receipts to monthly deposits
Payroll • Process payroll for 3 part time employees twice a month and calculate and communicate any salary changes • Track vacation, all time off and ACA hours for 3 part time employees monthly • Submit payroll state tax quarterly reports • Issue W2's
Human Resources • Manage and ensure basic HR compliance and activities including but not limited to training, offer letters and on boarding, termination and benefits communication and support • Perform the duties of Site Manager and manage all safety compliance issues as directly by the Diocese • Manage scheduling, tracking and compliance for required training for all clerical and office staff and volunteers
Administrative/ Miscellaneous Duties include but are not limited to: • Attend, record and produce minutes for a variety of clerical meetings and committees • Maintain the master calendar of Parish activities, holiday, special events and vacation/time off for staff • Order parish and office supplies as needed • Assist various committees with facility use, expense and income tracking for parish events • Generate mass and bulk mailing as directed
Education/Certificate Requirements • Basic Understanding of accounting principles • Accounting Certificate or B. S. in accounting or equivalent relevant experience (3+ years) • Knowledge of basic Human Resources practices • Excellent organizational skills • Strong computer skills- Windows 11, Word, Excel, Quickbooks Desktop • Familiarity with Catholic Church practices and procedures, a plus
