Position Summary: The Summer Administrative Assistant provides essential support to both the Events and Registration Department and the Sales and Marketing Department at the Apostolate for Family Consecration. This seasonal, full-time role is ideal for a detail-oriented and service-minded individual who thrives in a dynamic, mission-driven environment. The position plays a key role in ensuring smooth event coordination, accurate registration processes, and efficient store operations.
Reports To: National Events Manager Direct Reports: None Exempt Status: Non-Exempt Position Status: Full-Time, Seasonal Salary Range: Salary is dependent on experience
Events and Registration Functions: •Assist with the planning, coordination, and execution of events •Process event registrations, including data entry and participant communication •Respond to inquiries via phone, email, and in person regarding events and registrations •Maintain accurate records and databases related to event participation •Support on-site event logistics as needed
All For Store Functions: •Maintain inventory in the All for Store, restock merchandise, ensure displays are organized and appealing, and keep stock rooms organized. •Receive, price and transport merchandise to the All for Store. •Perform light cleaning in the store •Data entry and other duties as needed.
Major Duties and Functions: •Perform clerical tasks such as filing, data entry, and document preparation •Coordinate schedules and assist with internal communications •Support special projects and other duties as assigned by the National Events Manager
Required Skills and Abilities: •Strong organizational and multitasking skills •Excellent communication and interpersonal abilities •Proficiency in basic computer applications (e.g., Microsoft Office or similar tools) •Ability to learn new software, including Square Point of Sale and Square for Retail •Customer service experience preferred •Valid driver's license required •Strong time management skills and proven ability to meet deadlines •Proven history of workplace punctuality •Ability to work both independently and collaboratively •Self-directed and motivated •Ability to function well in a high-paced environment •Attention to detail and a high level of accuracy
Education and Experience: •High School Diploma and 1+ years experience in an administrative role
Physical Requirements: •The employee will usually be required to stand or walk for 30 minutes or more •The employee may occasionally be required to stand, reach, bend and lift up to 40 lbs •The employee will be required to work in confined spaces •Specific vision and hearing abilities required by this job include close vision and distance vision and ability to hear conversations in office and group settings •Attendance at meetings or events may be required
