    Description

    Position Summary
    The Director of Finance and Facilities support the Pastor by providing strategic leadership for the parish's financial stewardship and physical plant. This position develops and manages the parish budget and long-range financial plan, leads capital planning and major facilities projects, and ensures that parish resources are used effectively and in compliance with diocesan policy and canon law. The Director strengthens internal controls, improves operational efficiency, and coordinates with contractors and vendors to ensure parish buildings and grounds remain safe, functional, and mission-ready.
    Reporting Relationships
    Reports to the Pastor. Supervises Bookkeeper, Buildings & Grounds Staff, and Cemetery Manager.
    Core Responsibilities
    1. Financial leadership, budgeting, and reporting
    a. Lead the development of the annual operating budget (assumptions, forecasts, departmental inputs) and present budget recommendations to the Pastor and Finance Council.
    b. Monitor parish financial performance (budget-to-actual, cash flow, reserves, restricted funds) and provide clear management reporting to support timely decisions.
    c. Maintain and update multi-year financial projections (5-10 years), including reserve strategies and major cost drivers.
    d. Identify and implement operational efficiencies and cost-savings opportunities (utilities, contracts, workflows, purchasing practices, and major expense categories).
    e. Ensure parish financial practices align with diocesan policy, internal controls, and canon law, coordinating with diocesan offices when required.
    2. Internal controls and stewardship of parish assets
    a. Ensure appropriate internal controls are designed and followed to safeguard parish assets.
    b. Oversee finance-office workflows through the Bookkeeper and ensure proper documentation for audit readiness.
    c. Promote a stewardship-minded culture of transparency, accountability, and responsible resource use.
    3. Facilities strategy, capital planning, and major project oversight
    a. Maintain a parish-wide capital plan (deferred maintenance, major repairs, life-safety needs, accessibility improvements, long-range facility sustainability).
    b. Plan and oversee major repairs, renovations, and capital improvements: define scope, develop budgets, coordinate bids, and manage timelines.
    c. Manage high-level project execution (schedule, cost, quality), including change-order review and closeout documentation.
    d. Establish preventive maintenance standards and rhythms; use inspection checklists and documented work plans to reduce emergency repairs and extend asset life.
    4. Vendor, contractor, and real-estate coordination
    a. Serve as the parish lead for major vendor and contractor relationships: solicit bids, compare proposals, verify insurance/certificates, and address performance issues.
    b. Negotiate terms and scopes within parish authority, obtain required diocesan approvals, and coordinate contract review/execution per diocesan/legal requirements (as applicable).
    c. Coordinate with real estate agents, appraisers, surveyors, attorneys, and diocesan offices as needed for property-related matters.
    d. Maintain key service contracts (e.g., snow removal/ice management, major systems maintenance) and ensure performance expectations are met.
    5. Leadership and supervision of direct reports
    a. Supervise and develop the Bookkeeper, Buildings & Grounds Staff, and Cemetery Director: set goals, establish priorities, and conduct performance coaching/evaluations.
    b. Ensure staff follow safe work practices and maintain appropriate documentation for work performed, incidents, and vendor activity.
    Key Competencies and Characteristics
    • Strong competence in budgeting, cash-flow awareness, financial analysis, and multi-year planning.
    • Demonstrated ability to lead facilities/property stewardship: capital planning, preventive maintenance thinking, and contractor oversight.
    • Project management discipline: scope clarity, bid comparisons, scheduling, documentation, and follow-through.
    • Ability to communicate financial and facilities tradeoffs clearly to clergy, councils, staff, and vendors.
    • High integrity, discretion, and ability to maintain confidentiality.
    • Ability to apply Catholic mission principles-including Catholic social teaching-to decisions, policies, and leadership posture.
    • Comfort with office productivity tools, accounting systems, spreadsheets, and structured documentation.

    Qualifications
    • Bachelor's degree in business, finance, accounting, facilities management, or related field preferred, or equivalent professional experience.
    • 5-10+ years of progressively responsible experience in financial management, operations, facilities/property management, or project leadership.
    • Experience supervising staff and coordinating contractors/vendors.
    • Familiarity with internal controls, audit readiness, and compliance practices.
    • Knowledge of (or willingness to learn) diocesan financial/property policies and parish operating norms
    Working expectations: Full-time salaried role with some evening/weekend availability for council meetings, projects, and seasonal/emergency facility needs; travel between parish sites required.
