Date: June 22, 2026 Position Available: Administrative Assistant to Chapel Ministries Position Reports to: University Chaplain Department: Chapel Ministries / Franciscan Life FLSA Status: Non-Exempt Schedule: Monday - Friday, 8:30 a.m. - 4:30 p.m.
POSITION SUMMARY Provides essential administrative support to ensure the smooth and efficient operation of the department. Serving as a central point of coordination, the role assists the University Chaplain, Director of Chapel Ministries, and the Coordinator of Music Ministry by managing communications, scheduling, and organizational tasks.
PRIMARY RESPONSIBILITIES
1. Maintain and manage the department's master calendar, including scheduling all Chapel-related events. Maintain the University Chaplain's schedule and work with University Chaplain to prepare Mass calendar template. Provide support to University Chaplain and Director of Chapel Ministries as needed. Update Student Head of Liturgy Committee on events in Master Calendar and be a liaison to the student head in terms of Chapel Schedule.
2. Assist Coordinator of Music Ministry with administrative tasks such as room reservations, interoffice documentation, email communication, creative and promotional projects, social media management, and logistical support such as food pickup for music ministry events.
3. Work with constituents of the University related to scheduling of Sacraments at Christ the King Chapel (baptism) or in preparation for Sacraments celebrated at another place of worship. Provide support to engaged couples through maintenance of files, creation of certificates, and updating of the registry books. Maintain Sacramental records and serve as point person for communication with University Chaplain, Director of Chapel Ministries, and Student Head of Liturgy Committee in questions related to Sacramental ministry. Oversee preparation of Mass kits for use by students, faculty, and staff and ensure appropriate care of liturgical items. Coordinate dry cleaning of vestments and other liturgical items.
4. Prepare Mass announcements and distribute all departmental communications. Respond to phone inquiries to Christ the King Chapel and in-person inquiries. Process and appropriately respond to incoming/outgoing mail. Oversee Chapel Ministries social media account and Chapel Ministries PORT page.
5. Place and track orders for departmental suppliers with close attention to the budget. Process and deposit collections, donations from the poor box, and candle conations from the Chapel Shrines.

REQUIREMENTS Must understand, support, and embrace the mission of Franciscan University of Steubenville and possess the following:
Technical Skills • Proficiency in Google Workspace. • Experience managing or posting on Instagram. • Familiarity with office technology. • Strong organizational and file management skills. • Basic data entry and record-keeping. • Ability to draft, format, and send clear communications.
Education • Associates degree required; a Bachelor's degree is preferred. • One year of relevant administrative or office experience.
