    About the Benedict XVI Institute

    The Benedict XVI Institute for Sacred Music and Divine Worship was founded by our Chairman of the Board, Archbishop Salvatore J. Cordileone, with a big mission: to promote more beautiful and reverent liturgy that brings people to the Real Presence of Christ in the Mass. Our flagship Mass of the Americas, commissioned by Archbishop Cordileone and promoted by the Institute, has travelled to over 10 Cathedrals, debuted at #1 on the Billboard charts, and has become a symbol of the Catholic Renaissance in sacred music quietly unfolding.

    We seek a deeply committed, detail-oriented, hardworking, passionate Catholic to assist our leadership team of creatives with managing our growing, exciting, programs, someone who is willing to do whatever needs to be done, whenever it needs to be done, to help Archbishop Cordileone achieve this grand and important vision for revitalizing the Church in America through more reverent and beautiful liturgy.     POSITION OVERVIEW
    The Project Manager plays a pivotal role in ensuring the smooth and effective operation of the Benedict XVI Institute. This is a dynamic, multi-faceted position ideal for a highly organized professional who thrives in a fast-paced, mission-driven environment and is eager to contribute at both strategic and tactical levels.

    Acting as the operational backbone of the organization, the Project Manager will oversee key administrative systems, support executive leadership, coordinate events, manage donor communications, and execute a wide range of essential tasks-from database management and tax receipt processing to website updates and creative asset support.

    This role requires a rare combination of precision, initiative, technological fluency, and an appreciation for the Church's structure and mission. The ideal candidate will bring both high-level competence and a humble, service-oriented approach.

    KEY RESPONSIBILITIES

    Executive & Administrative Support
    • Manage calendars, communications, and task lists for executive leadership
    • Draft and prepare correspondence, including donor acknowledgments and tax receipts
    • Organize institutional records, board materials, and grant submissions
    • Maintain the donor CRM (Bloomerang), ensuring data accuracy and timeliness
    • Coordinate internal and external communications, including email, mailings, and appeals

    Project & Event Management
    • Plan and execute logistics for pilgrimages, liturgical celebrations, donor events, and other gatherings
    • Oversee project timelines and workflows using Asana and Slack
    • Manage event-related details such as registrations, RSVPs, name tags, and rooming lists
    • Generate segmented contact lists for targeted outreach and development initiatives
    • Travel occasionally to support in-person events (~7 times per year)

    Creative & Communications Support
    • Maintain and update visual materials, pitch decks, and flyers using Canva
    • Implement website updates through Squarespace or similar CMS platforms
    • Support donor campaigns and newsletters through formatting and coordination
    • Liaise with external vendors, including designers, printers, and hospitality providers

    Systems, Tools, & Operational Improvements
    • Recommend and implement process improvements for enhanced efficiency
    • Maintain organization across internal systems such as Google Drive, Slack, and Asana
    • Troubleshoot basic tech issues or interface with external IT/design support as needed
    • Proactively identify needs, resolve issues, and ensure nothing falls through the cracks

    QUALIFICATIONS
    • Minimum 5 years of experience in nonprofit, Catholic, or high-performance small-team environments
    • Strong writing, organizational, and project management skills
    • Exceptional discretion and professionalism, especially in interactions with Church leadership and major donors
    • Proficiency in Google Workspace, Canva, Squarespace, Asana, and CRM platforms (Bloomerang preferred)
    • Ability to move fluidly between strategic planning and hands-on execution
    • Practicing Catholic with a strong alignment to the mission, values, and vision of the Benedict XVI Institute
