Position Summary- The Registrar manages the accuracy, integrity, and confidentiality of student academic and enrollment records. This role oversees transcripts, grades, scheduling, and enrollment data; ensures compliance with school policies, accreditation, and regulatory requirements; administers FACTS and related student information systems; and supports families, faculty, and administration through reliable data management and responsive service.
Student Records & Academic Data Management:
-Maintain complete, accurate, confidential student academic records, including transcripts, grades, credits, attendance, enrollment, and graduation status.
-Process course registrations, schedule changes, withdrawals, transfers, and graduations in accordance with school policies.
-Ensure transcript accuracy for colleges, scholarship programs, accreditation, diocesan/state reporting, and alumni requests.
-Oversee cumulative records for current students and archived records for former students.
Student Information Systems (FACTS):
-Serve as the primary administrator for the FACTS Student Information System and related academic modules.
-Ensure accurate setup and maintenance of student profiles, course data, grading scales, and academic histories.
-Support faculty and staff in the effective use of FACTS for grading, attendance, and reporting.
-Collaborate with operations and finance teams to ensure data integrity across platforms.
Enrollment, Compliance & Reporting:
-Support admissions and re-enrollment through accurate data entry, record transitions, and reporting.
-Prepare academic reports for accreditation, standardized testing, internal analysis, and required state or diocesan submissions.
-Ensure compliance with FERPA and all applicable privacy and record-retention requirements.
-Respond to authorized data requests from colleges, testing agencies, and other third parties.
Scheduling, Academic & Administrative Support:
-Create, maintain, and update the master schedule in collaboration with academic leadership.
-Coordinate course offerings, section assignments, room utilization, instructional staffing, and graduation requirements.
-Provide data analysis to support enrollment management, course completion, and academic planning.
-Maintain registrar procedures and documentation; assist with audits, internal reviews, special projects, and institutional initiatives as assigned.
Family, Faculty & Student Support:
-Serve as a primary point of contact for families regarding transcripts, academic documentation, and record requests.
-Collaborate with counselors, administrators, and faculty to ensure student records accurately reflect academic status.
-Provide student supervision and perform other duties as assigned.
Catholic Education & Spiritual Formation:
Promote Gospel values, Catholic teachings, and a faith-centered environment through leadership, service, and professional conduct, while positively representing and supporting the school's mission.
Qualifications & Requirements
-Bachelor's degree required; background in education, administration, or data management preferred.
Experience:
-Minimum of 3-5 years of experience in a registrar, student records, or school administrative role.
-Experience with student information systems required; FACTS strongly preferred.
-Experience in a secondary or Catholic school setting preferred.
Skills and Competencies:
-Strong attention to detail, organization, and time management with a demonstrated ability to maintain accurate, confidential records.
-Excellent written and verbal communication skills.
-Proficiency with databases, spreadsheets, reporting tools, and standard office technology.
-Ability to work independently while collaborating effectively across departments, exercising sound judgment and problem-solving skills in time-sensitive situations.
-Flexibility to adapt to changing priorities in a dynamic school environment.
Physical Requirements:
-Ability to meet the physical demands of a campus and office setting, including prolonged computer use, movement between buildings, and occasional lifting of materials up to 25 pounds.
