Barren Tree Solutions is seeking a detail-oriented, self-motivated Receptionist / Office Administrator to serve as the central point of coordination for our growing company. This is a predominantly remote position with periodic in-office responsibilities requiring someone who thrives in an independent work environment, communicates confidently, and maintains strong organizational discipline.
The ideal candidate is confident, organized, and possesses excellent communication skills. You will serve as the first point of contact for customers and act as a hub for communication between clients, crews, and management. This role requires someone who can learn new concepts quickly, manage multiple responsibilities simultaneously, and take initiative without constant supervision.
This position requires both structure and creativity. You will help develop and improve systems and workflows, while also adapting to new ideas as they arise. You should be comfortable handling phone inquiries, coordinating schedules, and ensuring a seamless experience from initial customer contact through job completion.
Strong communication skills, professionalism, and attention to detail are essential. The person in this role will help shape the client experience and play a key role in the continued growth and success of Barren Tree Solutions. Candidate will be expected to learn basic knowledge of arboricultural practices in order to best inform and educate clients (whether first time or repeat) of what to expect.
Key Responsibilities
Office Operations & Communication
- Manage and direct incoming client communications in a professional and organized manner. - Serve as the first point of contact for customers and maintain timely and consistent communication from first contact through project completion. - Scheduling appointments for sales, meetings, and follow-ups. - Maintain accurate and organized records and administrative documentation for repeat, or annual treatments. - Support administrative compliance requirements and reporting needs. - Assist with operational coordination and scheduling in support of field activities. - Assisting with general administrative tasks, such as data entry, writing and editing proposals, and research. Support project readiness through administrative coordination and documentation. - Generate periodic reports and summaries for leadership review. - Responding to client inquiries and following up on any outstanding issues or concerns.
Qualifications & Requirements
Required: - Strong organizational and time-management skills - Excellent communication and customer service skills - Ability to work independently with minimal supervision - Have common sense, discretion, and a strong work ethic - Ability to manage multiple priorities and time-sensitive tasks
Preferred but not required:
- Background in arboriculture or industry-adjacent fields - Experience in a professional services or operations-focused environment - Experience with QuickBooks Online - Experience with SingleOps CRM - Education or experience in business administration, finance, company social media or content management - Strong references demonstrating reliability and initiative
Work Schedule Expectations:
The position is for a standard work week Monday - Friday to cover the hours of 7:00am - 5:00pm. However there is a potential for flexibility. Additionally there will be times during inclement weather where after hours communications with clients or availability may be necessary.
Payment & Benefits:
- Salary range of $32,000 to $40,000 - 120 hours of PTO - Paid Holidays: January 1, Good Friday, Memorial Day, July 4th, Labor Day, Thanksgiving and the day after, and December 24-31. - Matching 401k after 3 months of employment. 100% matching of the first 3% and 50% matching of the next 2%.
