Job Title: Operations Coordinator
Reports to: Executive Director
Status: Full-Time, On-Site, Non-exempt
The Operations Coordinator will work closely and collaboratively with the Executive Director (ED) and the Board of Directors of the Catholic Diocese of Madison Foundation (CDMF) to help fulfill CDMF objectives. This on-site position will assist with organization and completion of the day-to-day operational activities of the Foundation, including administrative, marketing and communications and fund holder relations tasks. The Operations Coordinator will provide general support for the ED and the Board of Directors in helping to build and maintain the long-term relationships necessary to advance the Foundation's goals in support of the Catholic Church throughout
the Diocese of Madison.
Role and Responsibilities:
Administrative
• Coordinate administrative relationships with diocesan staff providing contracted services to CDMF
• Participate in all CDMF board and committee meetings and coordinate pre-meeting preparation and postmeeting follow-on action items
• Working with the ED, coordinate donor prospect meetings and follow-on actions
• Coordinate administrative relationships with banks
• Coordinate information and document flow for Quarterly Fund Reports, Annual Fund Summaries, Fund Distributions, gift acceptance and new fund establishment
• Coordinate charitable gift receipts, acknowledgements, and monthly reconciliations
• Coordinate and maintain marketing, print and office supplies throughout the year, as well as inventory of promotional materials
• Other administrative tasks as necessary
Marketing and Communications
• Working with the ED, coordinate a "value-add" promotion partnership for endowment fund holders to help effectively market gift options and encourage growth of established endowment funds
• Working with the ED, help to develop Foundation-specific marketing materials, including promotional pieces and the annual report
• Coordinate and maintain the Foundation's web/social media presence
• Plan and execute events, including but not limited to board meetings, donor engagements, promotional events and educational workshops
• Other marketing and communications tasks as necessary
Fund Holder Relations
• Address front line fund holder inquiries and requests for information across various communication channels
• Communicate and coordinate with colleagues as necessary, providing professional fund holder support and ensuring the highest levels of fund holder satisfaction
• Coordinate recordkeeping of fund holder interactions and transactions
• Coordinate and oversee the fund holder and donor prospect contact database for effective identification and stewardship efforts
• Other fund holder relations tasks as necessary
Desired Qualifications:
• Bachelor's Degree required with progressive work experience including proven administrative,
development, and/or marketing experience
• Strong organizational skills and the flexibility to jump from priority to priority, essential to a role that juggles a variety of functions and projects
• A diverse skill-set that includes strong communication and interpersonal skills
• A general understanding of financial and budgeting processes
• Experience in working with varied boards and committee structures
• Proven proficiency with the MS Office Suite and relational database experience (Raiser's Edge experience preferred)
• Ability to work efficiently and with minimal supervision
• Practicing Catholic in good standing who personally and joyfully seeks to know, love and serve Jesus Christ through active participation in the life of the Catholic Church, and who publicly professes and strives to follow Catholic teachings as proclaimed by the Magisterium of the Church
