Position Title: Director of Advancement - (Full-time)

Position Summary
The Director of Advancement is a member of the Executive Team who is primarily responsible for implementing the school Marketing, admissions, and alumni engagement plans. This is a full-time exempt position with benefits.
Key Functions and Essential Accountability's
Planning:
Help update, execute, and review an annual Strategic Marketing Plan with specific performance goals - using the strategy to re-engage, recruit, and retain.
Review and help prioritize workflow to ensure the most effective and efficient use of available resources.
Coordinate and manage the Long-Range Plan.
Help update, execute, and review an annual Enrollment Plan with specific performance goals - using the strategy to re-engage, recruit, and retain.
Help update and execute a School Retention Plan with specific retention performance goals.
Marketing and Communications:
Work with the advancement team to build a Communications Plan to promote marketing and enrollment related activities and events (e.g. website, email, print, and social media).
When necessary, coordinate with the Graphic Designer on all School Communications channels: (e.g. Website, Facebook, Newsletter, Bulletin Inserts, marketing brochures / materials, Annual Report, etc.).
When necessary, coordinate with the Graphic Designer all publications of major school events and activities (e.g. Catholic Schools Week, Discover Catholic Schools week, Grandparents Day, School Assemblies, Christmas Program & Parade, etc.).
Work with parish staff on mutually beneficial marketing and communications efforts (e.g. share info that is relevant to both parish and school communities).
Coordinate publications for achievements of our school and individual students.
In cooperation with the Assistant Director of Advancement (part-time):
Assist with the creation of marketing materials to keep donors informed of needs, fundraising programs and activities, and opportunities to give including the school's annual report and family and staff e-newsletters.
Build a library of informative, engaging and relevant blog messages for current/prospective donors/alumni.
Generate mailing lists for various communication pieces and submit them to the mail house.
Oversee the development and delivery of the Community Newsletter.
Enrollment Management:
Coordinate and execute school Enrollment programs: (e.g. Tours, Open Houses, Small Family Gatherings, Chesterton Chats, New Family Orientation, and Retention Plan).
Create and update Prospective Family Enrollment Folders.
Manage an effective database (spreadsheet) of prospective students.
Provide information about the schools and its programs/activities to any/all appropriate individuals and institutions. Provide families with the necessary paperwork for financial aid and assist them as needed.
Conduct exit interviews with families leaving system and identify trends to present to leadership
Ensure recruitment objectives, goals, budgets, policies, practices and actions produce successful recruitment results, consistent with St. Ignatius overall mission /strategic plan
Work with both head of school and associate head of school to manage and execute admissions interviews and student onboarding (placement testing, student support plans, course selection, etc.)
Alumni Engagement:
Develop, coordinate, implement and evaluate programs and projects to promote Alumni Engagement. Assist in the oversight and evaluation of the alumni engagement strategy using metrics and benchmarks that increase alumni participation and philanthropic attainment; suggest revisions as needed and produce impact reports. Form strong relationships with members of the advancement team in order to effectively plan and execute strategy. Travel as needed.
Develop relationships with individual alumni and qualify them as potential leadership annual or major gift prospects.
Plans onsite and offsite meetings and alumni organized events.
Work with other Advancement Team to leverage digital media and virtual communications to strengthen alumni engagement. Manage all communications related to event promotion and follow-up by providing messaging, images, links and information. Contribute content to alumni-related communication newsletters.
Utilizing technology that includes Raiser's Edge to run queries and exports to identify alumni for engagement and qualification, and maintain excellent information within the internal database to improve alumni outreach.
Gather alumni information and success stories to support effective research and the celebration of alumni accomplishments.
Events:
Collaborate with advancement & administrative team to support and plan fundraising events (i.e. That Chili Thing, Gala, etc.)
Assist in the management of the events - including but not limited to, ticket sales, securing sponsors and donations, promoting events, soliciting raffle and auction items, creating guest lists, managing check-in stations, etc.
Misc. Duties:
Assist with the development and managing of various portions of the Advancement budget.
Organize promotional events (student and community) and coordinating day-of event
Report regularly to the System President on the qualitative and quantitative status of Marketing, Admissions, Alumni and Event goals.
Work closely with Campus Ministry Coordinator on upcoming events.
Other duties as assigned.
Evaluating
Check completed work for accuracy and completeness.
Recommend changes in procedures and protocols intended to increase effectiveness and efficiencies.
Work Relationships
Engage in ongoing dialogue with the Advancement Team, alumni, and prospects and St. Ignatius leadership and volunteers.
Work closely with the Assistant Director of Advancement on fundraising efforts.
Work closely with the Graphic Designer to communicate all marketing needs.
Supervising / Work Directing
May provide work direction to interns in the office and receives work direction from individuals other than the Director of Advancement.
