The Administrative Assistant will play a crucial and pivotal role in the life of The Summit Academy and play a key part in ensuring successful communications, both internally, and externally. This person will be the hidden link in the chain of most of our work and projects. Simultaneously, this person will most often serve on the front lines as the first point of contact for our prospective families, and donors. Therefore, he or she will be a reflection of the school, our mission, and our character.
The primary objective of the position is to facilitate internal and external communications and operations.
Tasks and Duties:
Assist in maintaining records for files (Students, Parents, Alumni, Donors, and Staff)
Greets public, prospective families, and current students and parents, and directs them to the correct staff member and/or resources.
Answer phones and transfer to the appropriate staff member
Monitor incoming emails and answer or forward them as required
Receive, sort, and distribute incoming mail
Prepare outgoing mail for distribution.
Works with Business Manager to assist in maintaining records and reports management (attendance, etc.) and parent forms (permissions, acknowledgments, etc.)
Attends and records notes for weekly administrative council meetings.
Provides support for special events (Gala, parent nights, speaker events, etc.)
Assist Teachers with document and classroom copies preparation
Maintains supplies by checking stock to determine inventory levels; anticipating requirements; placing and expediting orders; verifying receipt; stocking items; delivering supplies to workstations.
Reporting Structure: The administrative assistant will report to the Operations Manager.
Work Schedule:
Work hours will correspond to school hours, ensuring alignment with the academic calendar. During summer and vacations reduced hours will be implemented.
Qualifications:
High school diploma; additional education or training in office administration is a plus.
Proven experience as an administrative assistant or in a similar role.
Excellent communication skills, both written and verbal.
Strong organizational and time management abilities
Ability to maintain confidentiality and handle sensitive information and topics with discretion.
Friendly and professional demeanor with a warm, and patient demeanor
