Divine Mercy University is currently seeking an energetic Admissions Administrative Assistant based in our Sterling VA Campus. Administrative assistant duties and responsibilities include providing administrative support to ensure efficient operation of the admissions areas. You will support managers and employees through a variety of tasks related to organization and communication. The administrative job scope includes communicating via phone and email, and ensuring that all administrative assistant duties are completed accurately and delivered with high quality and in a timely manner. This position reports to the Vice President of Enrollment.
This is a full-time, permanent, on-site position with Divine Mercy University.
Answer and direct phone calls
Act as the initial point of contact for admissions inquiries, and distribute to the appropriate admissions team member
Act as Salesforce nurturing of inquiries leader to include set-up and launch of all outreach nurturing material
Through training and a production plan, become the subject matter expert for the marketing and leads a section of the CRM (Salesforce)
Organize and schedule meetings and appointments
Produce and distribute correspondence memos, letters, faxes and forms
Assist in the preparation of regularly scheduled reports
Develop and maintain a filing system for new student files, and relevant SOPs in marketing and admissions
Order office supplies
Book travel arrangements
Submit and reconcile expense reports
Provide general support to visitors
Other duties as assigned
2+ years of administrative experience
Knowledge of office management systems and procedures
Excellent time management skills and ability to multi-task and prioritize work
Attention to detail and problem-solving skills
Excellent written and verbal communication skills
Strong organizational and planning skills
Understanding of or Proficiency in Google Workspace, MS Office including PowerPoint and Excel, CRM systems (Salesforce or similar), and SIS systems.
Experience in Higher Education a plus
Associates degree or higher, preferably in marketing, business, or communications
Problem solver both for internal/external customers, including Students and Alumni
