Administrative Assistant
The position provides operational administrative support to the pastor, the lead administrative assistant, and the Director of Religious Education at Sacred Heart Catholic Church.
This position reports to the pastor of Sacred Heart Catholic Church. The position receives functional guidance and direction from the lead administrative assistant for the parish. This position requires a solid understanding of the Catholic faith and a working knowledge of diocesan and parochial church practices and structures. The position also supports the Director of Religious Education and the church's faith formation programs.
Essential Duties and Responsibilities:
Maintains all social media for the Parish, Facebook, Twitter, and Sacred Heart website
Greets and welcomes visitors; addresses walk-in inquiries; accepts deliveries; aids and/or refers requests to the pastor or appropriate staff member
Answers incoming telephone calls in a courteous and friendly manner, directs calls to the proper party, connects callers to voicemail, and/or takes and delivers messages as required
Maintains an orderly filing system for the parish, including maintaining an accurate database of required documentation
Participates in weekly staff meetings and writes the minutes for those meetings
Accepts requests for Mass intentions and schedules the Mass intentions
Sets up for Masses as required
Maintains all Catholic sacramental records and notifications
Prepares the church's commons area for church/social activities
Assist with parent meetings, programs, and other faith formation activities
Maintain faith formation information via the parish's database system, including processing faith formation activities, database management of parishioner and student information, teacher information, schedules, reporting, etc.
Answer all faith formation phone calls in a resourceful, courteous, and friendly manner.
Attend religious education staff meetings
Support parish families with faith formation resources. This includes providing calendars, program materials, supplemental resources, and technical assistance to ensure the success of various faith formation activities
Generates reports to the Director of Religious Education, as needed
Other Information About This Position:
This is a part-time position. Expected work hours are approximately 25 hours per week. The hourly rate for this position will depend on experience. A minimum of three years of relevant experience in a secretarial or office management role or Associate Degree.
Strong working knowledge of the structure and teachings of the Catholic Church is required.
