    Job Summary:

    The Faith Formation Administrative Assistant of the Faith Formation Office is responsible for assisting the Faith Formation Office with Faith Formation Database, participant records, and providing general administrative support in a hospitable manner. The position reports to the Director of Faith Formation and operates under close supervision with little latitude for the use of independent judgment and initiative.

    Essential Job Duties:

    Support and uphold the philosophy of Catholic ministry and the mission of St. Helen Catholic Church in both your professional and personal life. Act as a witness to Gospel values by modeling the teachings of the Catholic Church. Continuously grow in your ministry by participating in religious ceremonies, training sessions, and reflection activities as directed.
    Provide, in a pleasant and professional manner, a hospitable welcome to all staff, volunteers, visitors, and callers to the Faith Formation Office, in order to create a welcoming, open, and helpful atmosphere.
    Maintain faith formation database updated, including, but not limited to: attendance, folders, prepare folders, scan documents, prepare reports, print letters, etc.
    Create and maintain updated participant records on the appropriate databases, from contact information to sacramental records.
    Process payments received in the Faith Formation Office and prepare reports for the Finance Coordinator in a timely manner.
    Assist, prepare and submit the information for the parish weekly bulletin in a timely manner.
    Assist with and attend special liturgical celebrations as required.
    Maintains ability throughout the week in order to serve the needs of the parish to include pastor, staff, and volunteers during and outside of normal church office hours.
    Other duties as assigned.

    Knowledge, Skills and Abilities

    Knowledge of Roman Catholic teachings, parish and diocesan structure.
    Ability to work in a multi-cultural parish serving various cultures and a wide range of age groups.
    Ability to provide excellent customer service and work effectively with staff, clergy, and laity.
    Ability to build authentic relationships with adults rooted in Christ.
    Ability to effectively work with constant interruptions.
    Ability to operate various word-processing software, spreadsheets, and database programs.
    Ability to organize, prioritize and utilize effective time management techniques.
    Ability to maintain confidentiality at all times.
    Ability to carry out multiple tasks, meet deadlines, and implement creative solutions.
    Ability to follow instructions furnished in verbal or written format.
    Ability to proficiently communicate in English and Spanish (writing, reading and conversing).

    Minimum Qualifications:

    Education and Trainings:

    High School Diploma or GED acceptable to Texas Education Agency.

    Experience:

    Two (2) years of experience working is required.

    Language:

    Bilingual English-Spanish (proficient in writing, reading and conversing).

    Catholic Requirement:

    Must be a practicing Roman Catholic in good standing.

    Licenses/Certifications:

    Valid Texas driver's license.
    Must maintain compliance with the Diocese of Austin Ethics and Integrity in Ministry (EIM) policies throughout the employment period.

    Mental / Physical Tasks:

    Expectations: Talking, Listening/Hearing, Standing, Walking, Grasping/holding, Lifting/carrying, Driving, Seeing, Reading and comprehending, Using personal computer with mouse, Sitting for extended periods, Bending, Public Speaking, and Using office equipment, stapler, telephone, etc.

    Working Conditions:

    All employees of the Parish are engaged in ministry and closely tied to the Pastor in the exercise of his ministry and obligations to the church.
    The Parish is an at-will employer.
    All buildings and vehicles owned by the Parish are tobacco free.
    Working in a fast paced environment with priorities and plans that may change rapidly.
    Working on weekends, evenings and some holidays is required.
    Will be exposed to religious ceremonies, conduct and speech including Catholic Christian prayer and liturgical celebrations.
    Will be required to adhere to established dress codes and conduct standards.
    May be required to use personal vehicle to drive off-site locations.
