The Front Office Administrative Assistant is a welcoming presence to all church office visitors. This role always requires a professional and compassionate demeanor. You will often be the important "first impression" for visitors looking for a parish home or help with the sacraments. Discretion and maturity are required in handling church matters. Excellent phone skills, proficient with computers, self-motivated, can multi-task, and has proven successful experience in working in an office setting. This position requires you to be open to new challenges and willing to learn new processes and procedures. We are looking for a self-starter capable of initiative and independent work.
Essential Job Duties:
Welcome and direct visitors
Keeps lobby and reception area neat and orderly
Answer telephone and direct calls appropriately
Provides receptionist services for the parish office including the recording of clear and accurate messages, the handling of routine questions about policies, events, etc., and the greeting visitors
Ensures that all phone calls and office visits are handled efficiently, professionally, and with the desire to minister to all.
Provides information for sacraments and receives documents required for sacraments
Performs secretarial duties for the priests and staff
Operates and maintains office machines
Schedules mass intentions, keeps accurate records on intentions
Distributes mail and other related material
Mailings, copying, filing, e-mails, and projects, as needed
Maintains all copier machine and supplies
Checks out keys to ministry leaders
Manages all sales of goods in the office
Other duties as assigned by Pastor or Chief Operating Officer
Knowledge, Skills, and Abilities:
Knowledge of the structure and basic teachings of the Roman Catholic Church
Must have good interpersonal communication skills
Must have ability to maintain confidentiality in all matters
Must have ability to proficiently communicate verbally and in writing in both English and Spanish
Highly proficient with operating office suite software, such as Microsoft Office or Google's G Suite
Ability to provide excellent customer service and work effectively with staff, clergy, religious and laity
Ability to organize, prioritize, and utilize effective time management techniques
Ability to follow instructions furnished in verbal or written format
Ability to proficiently communicate in English (conversing, reading, and writing)
Education and Experience:
Associate's degree in business, communication, English, writing, general studies, journalism, computer science, or similar, plus 3 years related experience in an office setting - OR - 6 years related job experience as an receptionist or administrative assistant.
Highly proficient in English and Spanish, speaking and writing
Valid Texas driver's license
Must maintain compliance with the Diocese of Austin Ethics and Integrity in Ministry (EIM) policies throughout the employment period.
