We are seeking a highly skilled and experienced Facilities Manager to join the Catholic Charities of East Tennessee's (CCETN) team. As our Facilities Manager, you will be responsible for overseeing the maintenance of our buildings, ensuring their safety, managing various projects, and maintaining the security of our facilities. SCHEDULE: 35 hours/week | Monday - Friday | 8:30 AM - 4:30 PM

Job Responsibilities:
• Develop, manage, and control the Operations budget
• Maintain a list of current buildings, agency vehicles, and agency equipment
• Supervise all maintenance staff (custodians, technicians, groundskeepers etc.) and external contractors
• Ensure buildings and vehicles are well maintained and meet health and safety standards
• Arrange for regular maintenance of equipment and internal systems
• Ensure facilities, office spaces, equipment, and sensitive information are secure in accordance with policy and/or legal guidelines
• Provide oversight for CCETN lawn, pest control, and housekeeping contracts
• Manage keyless entry systems, security cameras, and agency keys
• Ensure office space is utilized to the greatest extent possible in a manner that is cost effective
• Develop and maintain a list of agency maintenance equipment and maintain maintenance schedules
• Ensure support services are readily available
• Perform analysis and forecasting as needed
• Develop and execute health, safety, and emergency plans in the workplace according to grant requirements and legal guidelines
• Ensure implementation of effective facility security policies across the agency; act as first point of contact regarding the same
• Evaluate practices, procedures, and facilities to assess risk and adherence to the law
• Conduct training and presentations for health and safety matters
• Monitor compliance to policies and laws by inspecting facilities and operations
• Be present for all building inspections
• Investigate incidents to discover causes and refer worker's compensations claims to HR Manager
• Provide oversight for CCETN contracts/leases as assigned by Executive Director
• Maintain contractual records and documentation
• Work with Finance and Legal to ensure adherence to broader finance and risk requirements
• Monitor transaction compliance (milestones, deliverables, invoicing, etc.)
• Ensure contract closeout, extension, or renewal
• Confirm scope of work, resources required, and project deliverables
• Develop a project timelines and track the progress
• Report project status on a weekly basis
• Plan and manage project resources and stakeholder communications
• Ensure projects are completed on time and within budget
• Perform analysis and forecasting
• Coordinate with emergency response teams, such as fire and police departments, to ensure a timely and effective response to the emergency
• Regularly review and update emergency plans and procedures to ensure that they are up-to-date and effective in responding to emergencies
• Quickly assess the nature and severity of facility emergencies and take appropriate action to ensure the safety of occupants and minimize damage to the facility
Job Requirements:
• Must be able to move objects weighing up to 50 lbs.
• Must hold a valid driver license
• Must maintain any training and certification requirements
• Must be flexible and able to work evenings, weekends, and holidays if required
• Must be willing to travel to program locations within the region
• Must support the teachings of the Catholic Church and embody our organization's mission and culture through behavior and daily interactions
• Regular and predicable on-site attendance is required
Job Qualifications:
• Bachelor's degree in Facility Management or equivalent work experience
• Minimum 5 years' experience
• Strong understanding of building systems, including HVAC, plumbing, electrical, and mechanical systems
• Proficient in computer software such as facility management systems, project management software, and building automation systems
• Excellent verbal and written communication skills and the ability to negotiate contracts and agreements
• Strong leadership skills and be able to manage and motivate a team
• Ability to analyze data, identify trends, and make recommendations for improving facility operations
• Strong understanding of safety and security regulations and be able to implement policies and procedures that comply with local, state, and federal regulations
• Strong customer service skills and be able to work with a wide range of stakeholders to ensure that their needs are met
