QUALIFICATIONS: EDUCATION: High School diploma or its equivalent required. EXPERIENCE: One to two years' experience in office experience is preferred.
KNOWLEDGE/SKILLS: -Good telephone and interpersonal skills, with knowledge of business etiquette. -Strong organizational skills with attention to detail. -Ability to work independently or with a team. -Maintain confidential information. -Ability to operate office equipment including computer, copier, scanner, fax machine, postage machine and telephone. -Proficient in Microsoft Office and Google Workspace.
SUMMARY OF JOB: To provide general receptionist functions; deliver administration support while working independently, provide scheduling for clergy, staff and parishioners.
ESSENTIAL DUTIES: -Greets visitors, ascertain the nature of business and alert the appropriate staff member. -Answer the telephone, respond to inquiries for information, screen and route calls as appropriate or take detailed messages. -Place outgoing calls as requested. -Open, sort and organize incoming mail. -Maintain and schedule electronic office calendars for staff and facility events. -Schedule meetings and events. -Order and maintain office supplies as needed. -Set up new email accounts for employees and adding staff members to various groups and emails lists. -Serve as the backup for troubleshooting office equipment. -Accept and schedule all Mass intentions. -Serves as the key keeper who checks out OLMC keys for parishioners accessing different facilities. This also includes checking the drop box for keys and paperwork. -Prepares the liturgy schedule for the bulletin and send it to the editor on a weekly basis. -Creating new swipe badges for staff members and volunteers when needed. -Various copies and tasks as requested.
OTHER DUTIES: Performs other tasks related to the position described as directed by the supervisor.
