MusicMax Inc. is seeking an energetic, kind and highly organized individual who is filled with positive energy and joy to assist the company President in administrative and communication duties. Proven attention to detail, excellent social and verbal skills and discretion when needed are necessary requirements.
Key responsibilities include:
Perform diversified and confidential administrative and office support activities for the company President.
Manage President's calendar, set appointments and reminders.
Initiate and run daily brief and action meetings with President.
Manage and track President's e-mails and respond as needed in name and voice.
Forward e-mails to appropriate staff members and follow-up when necessary.
Make calls and compose letters at President's request.
Attend meetings with President as needed to create follow up and action list.
Maintain online calendar with Holiday closings, events, staff PTO and travel, etc.
Ensure contact information in address book and CRM are up to date and accurate
Take ownership of various projects.
Periodically assist in President's scheduling and communication as a Deacon in the Roman Catholic Church.
Ability to type at least 45 words per minute.
Excellent verbal and written communication skills.
Excellent interpersonal and customer service skills.
Excellent organizational skills and attention to detail.
Excellent time management skills with a proven ability to meet deadlines.
Confidentiality and Due discretion.
Proficient with Microsoft Office Suite or related software.
Previous experience as Executive Assistant
Mac based computer skills
Music performance background.
Salary range based on experience and proficiencies.
