Holy Family Parish and American Martyrs Parish are seeking a Pastoral Assistant to assist the Pastor in the daily administration, coordination, and pastoral operations of both parishes. This position is essential to ensuring smooth day-to-day functioning, clear communication, and effective pastoral support across both parish communities. The ideal candidate is organized, discreet, proactive, and mission-oriented, with a strong ability to manage multiple priorities while maintaining a warm, welcoming pastoral presence.
Primary Responsibilities Pastoral & Administrative Support • Serve as the primary administrative support to the Pastor • Help manage the Pastor's daily workflow, priorities, and desk • Coordinate schedules, appointments, meetings, and parish commitments • Screen phone calls, emails, and correspondence, responding appropriately or routing as needed • Maintain confidentiality and exercise sound pastoral judgment Parish Operations & Coordination • Assist with day-to-day parish operations for both parishes • Coordinate calendars between Holy Family and American Martyrs to avoid conflicts • Prepare correspondence, memos, letters, and reports as needed • Support parish staff, clergy, and volunteers with administrative coordination
Communication & Organization • Draft and format emails, letters, bulletins, announcements, and internal communications • Maintain organized digital and paper filing systems • Track deadlines, follow-ups, and ongoing parish initiatives • Assist with parish communications across platforms (email, bulletin, website, social media coordination as needed) Meetings & Events • Attend meetings & take meeting notes and follow up on action items • Assist in planning and coordinating parish events, liturgies, and special initiatives • Serve as a point of contact for vendors, diocesan offices, and external partners as needed
Qualifications & Skills • Practicing Catholic with a respect for the mission and life of the Church • Strong organizational and time-management skills • Excellent written and verbal communication abilities • Ability to manage multiple priorities with flexibility and calm • High level of discretion and professionalism • Proficiency with office technology (email, Word, Google Docs, calendars, basic spreadsheets) • Experience in parish ministry, nonprofit administration, or office management preferred

Schedule • Full-time (hours to be determined) • Occasional evening or weekend availability may be required based on parish needs
