Title: Guidance Department Secretary Purpose: To provide administrative and secretarial support to the Assistant Principal for Guidance and other members of the Guidance Department Staff. Duties: a) Answer a variety of telephone calls and other inquiries relative to guidance matters b) Create and maintain a welcoming, positive tone in the Guidance waiting area c) Receive walk-in guests including students, parents, community members, teachers and guests. d) Initiate and respond to telephone calls, provide information and resolve issues, rerouting calls as necessary. e) Receive, request and record transcripts f) Coordinate the administration of the PSAT and Pre-ACT exams g) Execute requests for working papers h) Maintain and oversee the Guidance Department budget i) Initiate and coordinate all forms and paperwork related to school withdrawals j) Facilitate crisis interventions by directing distressed students to the appropriate in-school resources k) Annually update the School Calendar, Guidance Handbook, the Guidance section of the Faculty and Student Handbooks l) Collate and disseminate failure reports m) Distribute directories and handbooks to Guidance personnel n) Coordinate the Placement exam including the assignment of personnel o) Assist with the coordination of grade level assemblies and the Freshman Biography and Sophomore self-evaluations p) Maintain the records room, including properly disposing of outdated materials Qualifications 3+ years of administrative experience; school setting preferred Discretion and the ability to maintain confidentiality Exceptional organizational skills Proficiency with Microsoft, Google, Naviance and PowerSchool Exemplary verbal and written communication skills Flexibility and the ability to multitask Bilingual preferred Kellenberg Memorial High School Guidance department offers a congenial, student centered, faith-based, dynamic, and collaborative work environment.
