Part Time Administrative Office Assistant In-person position
Hours are 9:00am-4:00pm Monday through Thursday with a lunch break 12:30-1:30.
We are looking for a candidate who has excellent communication skills, works collaboratively with others, can easily multi-task and friendly. Applicants must be organized, eager to learn and self motivated. Tasks need to be done in a timely manner. Should be proficient in Microsoft Office. Knowledge of Flocknote and Parish Soft is a plus. This role reports directly to the Parish Pastor.
Recommended Experience: Office experience, strong organizational skills, excellent phone and written communication skills, proficient in Microsoft Office
Responsibilities: • Receive visitors, answer & direct telephone calls and email • Schedule and record Baptism Prep, Baptisms, Weddings and Funerals; prepare certificates, arrange organist and soloist • Accept and acknowledge special donations to parish and ministries • Maintain all files and registrations • Prepare weekly Prayer of the Faithful and announcements • Record Mass intentions, Purgatorial society, flowers, and candles including opening of the Mass book • Proof read and work with the bulletin editor to submit the weekly bulletin • Schedule visiting priests for Advent and Lent penance services • Maintain office equipment, supplies, telephone • Schedule vendor appointments for contracted vendors • Coordinate scheduling of parish and ministry events/meetings on master calendar • Prepare annual diocesan forms/reports; • Oversees annual parish raffle: maintain licenses and permits, prepare mailing to parishioners and completes municipal and state reports • Work with retreat coordinators for the annual men's and women's retreats if needed • Special projects/events throughout the year
Compensation: Salary depending on experience. There 18 days the office is closed due to federal and religious holidays. An additional 5 PTO days for sick or vacation.
