Presently, we are seeking an Executive Assistant who will provide various advanced administrative support to multiple offices within the Vicariate for Clergy and Consecrated Life. The Executive Assistant must have great attention to detail with a high degree of confidentiality, organization, planning and follow through, and flexibility. The successful candidate will have excellent communication and interpersonal skills. A brief summary of the position description is listed below. Act as a liaison and knowledgeable contact between Vicar/Directors and other diocesan staff, and parish administrators; maintains accurate mailing lists for various constituents and electronically distributes policies and other announcements as appropriate. Ensures all communication is appropriately reviewed, professional, and timely Draft letters and other correspondence as appropriate when requested. Provide general administrative support including multi-calendar management, publishing electronic calendar, maintaining departmental files electronically or by hard copy, answering/re-routing phone calls, e-mails, and other correspondence while following up on inquiries as required. Coordinate budget preparation and facility requisition payments. Manage online application process for seminarian and clergy recruitment and applications; create and maintain applicant records. Schedule room reservations and catering arrangements for meetings and special events. Answers and redirects calls received at the general office number Order office supplies as needed. Other job responsibilities as required.
The ideal candidate will demonstrate the following qualifications: • Associate degree (A.A.) or equivalent from a two-year college or technical school • Seven to ten years of relevant experience and/or training • Knowledge of Word, Excel, Outlook, billing systems, and website content management • Maintain an extremely high level of confidentiality Interested candidates should forward their resume to [email protected].
