Office Manager (35 - 40 hours a week)
• Office Tasks
o Check the mail daily and place items in the proper boxes
o Count money for the Budget Shop and record totals
o Answer phone calls and emails in a timely manner along with running and managing the front office
o Update and maintain parish website and social media pages
o Maintain and update other relevant and important databases
o Open and unlock the office at 9 AM, and close and lock up the Office at 4 PM, 12 PM on Fridays.
• Homebound parishioners & Anointing of the Sick
o Contact the Pastor of person requesting Anointing of the Sick
o Pass on information from hospital and care home social workers about parishioners in need of communion, last rites, etc.
o Prepare for 1st Friday visits, on the first Thursday of the month, call and confirm times for priests to come to the homebound for First Friday calls.
o Put together the Mass readingd for that Friday along with the Universal Prayers for the Meadowlark Hills Mass and prepare the needed number of bulletins for the Homebound
• Mass & Sacramental Records
o Maintain Mass Intentions book, Week at a Glance, and Mass stipends
o Update the Sacramental books and Realm with new Sacraments
o Create Sacramental records for those requesting them
o Send out appropriate notifications of Sacraments received to the appropriate Parish of Baptism
• Calendars & Building Reservations
o Maintain and update calendars including, Google, monthly and Week at a Glance
o Maintain and update Reservations Calendar for our buildings Handle the reservation of parish rooms, including the Church basement, handle contracts, and collect payment (if needed).
o Create Fiscal Year calendar
o Create fiscal year calendar planner for the staff
• Charities Resources
o Assist members of the community with charity by sharing our resources along with the resources in the community
• Ordering Church & Office Supplies
o Have an inventory of office and Church items
o Order materials for the Office and Church when needed
o Put in work orders for items that need repair in the office
o Prepare and share the agenda for the bi-weekly staff meeting
• Google Form Updates
o Check online registration for new parishioners and the other ministry google forms
Direct the info to the proper person and input relevant data into REALM
o Keep Realm up to date
o Depending on the event have relevant information on tickets sales, volunteer sign-ups, and etc.
• Every 3 Month Items
o Download and print Universal Prayers of the Faithful (every 3 months)
o Schedule ministers for duties during Masses in the Ministry Scheduler (every three months)
• Other Tasks
o Assist priests and other ministry leaders with office tasks
• Be available to help in other needs of the parish
