This is an hourly, full-time position and is eligible for benefits. This team member reports to the Business Manager. Primary tasks are the organization and daily management of the master parish calendar, as well as the coordination of parish compliance with diocesan Safe Environment requirements. This position also serves as the Parish Front Office lead coordinator whose purpose is to serve as the primary training and scheduling source for Receptionist personnel, and to maintaining a welcoming and service-oriented environment.
Safe Environment screening required for non-regular contact.
The following is a list of principal duties:
70% Safe Environment Coordination
Ensure that all employees and volunteers have received current training required for Safe Environment compliance and background checks.
Verify SE screening for adult volunteers supporting events with children.
Maintain SE records as required by Diocesan Policy.
20% Calendar Management
Serve as Point of Contact and scheduler for all rooms and facility usage on the campus.
Work closely with the Facilities Manager and Event Coordinator to request and distribute room set up information for events on campus.
Prepare and maintain the master parish calendar in coordination with the remainder of the staff.
Prepare for the twice-yearly calendar planning meeting.
Maintain the Parochial Vicar's appointment calendar.
Prepare Mass calendars and Rectory calendars upon request by the Pastor.
Call for substitute priest for Masses & Confessions.
10% Front Office leadership
Assist with training and supervision of Reception personnel on topics such as:
-Sacramental records and affidavits
-Coordination and scheduling of Baptisms
-Operation of office equipment
