Primary Responsibilities and Duties
-Manage day-to-day office operations including:
-Answer and direct incoming phone calls
-Greet and assist visitors
-Oversee supply inventory and track supply expenses
-Receive & sort incoming mail and send payments and invoices to accounting
-Develop and implement processes to improve school administration
-Manage facility repair/maintenance issues and retain suppliers as needed
-Assist faculty members with tasks as needed, such as printing/copying and basic IT support
-Oversee textbook ordering process and maintain online accounts with textbook/educational companies
-Oversee process for collecting enrollment paperwork from families
-Assist with production of school newsletter and other promotional materials
-Oversee documentation and logistics for field trips
-Maintain student records.
-Ensure diocesan compliance for faculty and parent volunteers and complete state reporting (ISBE)
-Coordinate annual student testing (CLT, National Latin Exam, Placement tests, etc.)
-Provide administrative support for all aspects of annual fundraising and marketing plans, with emphasis on annual Gala
-Oversee and coordinate safety drills, i.e., fire, tornado, and lockdown and coordinate training and inspections with local law enforcement/fire department
-Oversee planning and logistics for school events including:
-Prospective student shadow days
-Parent-Teacher conferences
-College representative visits
-Other events
-Maintain a presence in the school that enhances and reinforces the virtue formation of students
Required Qualifications
-Substantial administrative experience in a school or professional office setting
-Significant experience/proficiency with technology, including but not limited to Microsoft Office suite, Adobe Illustrator/InDesign, and basic social media platforms
-Ability to organize and manage a wide variety of tasks, and work with multiple individuals daily
-Basic accounting/bookkeeping skills
-Caring service to others
-Commitment to the mission of Chesterton Academy of the Sacred Heart
-Practicing Roman Catholic in good standing
Preferred Qualifications
-Experience as office manager in a school or professional office setting
-Operations experience with an emphasis on process improvement
