Our Lady of the Holy Rosary- Saint Richard Catholic Church in Palmetto Bay, Florida is hiring for a part-time Marriage & Family Coordinator. This candidate will be responsible for supporting the parish community by coordinating marriage, separated, divorced, and remarried Catholic formation and support for catechists of Baptisms. Primary duties are coordinating marriage celebrations, annulment procedures, and Baptism preparations. The Our Lady of the Holy Rosary - St. Richard Catholic Marriage & Family Coordinator performs all duties and responsibilities in alignment with the mission, vision, and values of the Roman Catholic Archdiocese of Miami.
Essential Functions and Tasks:
•Acts as liaison between engaged couples for the preparation of the Sacrament of Holy Matrimony and the Parish Priest, Sacristan, Music Director, and if needed, rentals coordinator.
•Guides separated, divorced, and remarried Catholics through the process of annulment procedures while working closely with the Archdiocese of Miami Tribunal.
•Requests, in writing, sacramental records from applicants for admission.
•Enters data and keeps accurate records for marriages, annulments, baptisms, and other parish notifications in the parish sacramental books.
•Registers new parishioners who would like to be married in the parish while keeping track of removing parishioners who are known not to participate in the parish after annulment procedures.
•Ensures that there is documentation on all sacramental donation transactions for auditing purposes and accurate/current account balances on each fund using a log.
•Receives and processes suggested donations from couples and parents while keeping the business manager apprised of accounts receivables.
•Communicates effectively with the public, staff members, parents, administrators, and other contact persons using tact and good judgment.
•Maintains confidentiality regarding marriage, annulment, baptism records /Church workplace matters, especially financial matters.
•Elaborates sponsor and permission letters.
•Creates official sealed sacramental documents.
•Demonstrate initiative in the performance of assigned responsibilities.
•Participate successfully in the training programs offered to increase skill and proficiency related to the assignment, especially Catechesis minder.
•Keeps the Director informed of potential problems or unusual events.
•Responds to inquiries and concerns, via phone, e-mail, or mail promptly.
•Builds and maintains good working relationships with other team members, exhibiting good interpersonal skills.
•Demonstrates support for the Catechesis system and its goals and priorities.
•Demonstrates initiative in identifying potential problems or opportunities for improvement.
•Prepares all required reports and maintains all appropriate records.
•Attends training classes and staff meetings.
•Performs other tasks consistent with the goals and objectives of this position.
•Assigns all tasks with confidentiality and discretion, demonstrating excellent internal and external customer service.
•Other duties as assigned include weekends, evenings, and holidays when needed.
Qualifications:
•Minimum: High school diploma and 5 years of clerical experience in a customer-service environment; Non-profit experience is helpful.
•Preferred: Theology degree is desirable or other suitable qualification such as a bachelor's degree with 1 year of Catechetical and Parish Ministry experience.
•Excellent customer service skills, including the ability to maintain focus on and professionalism with people in challenging situations, both in person and by phone.
•Good time management skills, including the ability to manage several projects at the same time.
•Ability to multi-task and retain accuracy in an environment of competing deadlines.
•Demonstrate confidentiality concerning marriage, annulment, and baptism sensitive files.
•Able to type at least 60 wpm with 90 percent accuracy.
•Proficiency in MS Outlook, Word, and Excel.
•Good computer literacy, including the ability to navigate online applications and search engines effectively.
•Strong oral and written English communication skills, including a clear speaking voice.
•Good Spanish spoken communication skills are strongly preferred.
•Good spelling and grammar are required.
•Supportive of the mission and tenets of the Roman Catholic Church.
•Knowledge of basic tenets the Roman Catholic Church.
•Must have a professional demeanor.
