Our Lady of Guadalupe Catholic Church in Doral, Florida has an opening for a bi-lingual (English- Spanish), Full-time Parish Receptionist to begin as soon as possible. This receptionist will be responsible for providing first-point-of-contact customer service for general inquiries and visitors to the parish office and maintaining a welcoming environment to the parish. Primary duties include operating the main phone line, greeting visitors and callers, sorting correspondence, taking Mass intentions, and other tasks. The candidate performs all duties and responsibilities in alignment with the mission, vision, and values of the Catholic Archdiocese of Miami.
Schedule: Monday- Friday from 9:00 A.M. to 5:30 P.M.
Essential Duties and Functions:
Provides exemplary customer service to visitors, parishioners, employees, and others who contact the parish by phone, in person, and by e-mail; assesses their needs and directs them to the appropriate parties.
Fosters a sense of hospitality and professionalism with an open-door mannerism.
Provides callers answers to basic questions on operations, office locations and schedules, and/ or documents their concerns for escalation to the appropriate party.
Assists all walk-ins and new parishioners, gives them the registration forms, and helps them register in the parish.
Assists and attend to any inquiries for Sacraments, explain the parish procedures and requisites to community persons and have them fill out the corresponding registration forms.
Oversees and facilitates the scheduling of Mass Intentions; offers date and time to scheduling party and inputs his/her/their information in the Mass Intention book.
In the spirit of collegiality, assists the Pastor and staff in any ways needed.
High school diploma and two (2) years' clerical experience in a customer-service environment; non-profit helpful.
Demonstrated history and ability to maintain strict confidentiality concerning files and sensitive information.
Type at least 60 wpm with 90 percent accuracy.
Proficiency in MS Office Suite.
Good computer literacy, including ability to navigate online applications and knowledge of search-engine-optimization best practices.
Excellent customer service skills, including ability to maintain focus on and professionalism with people in challenging situations, both in person and by phone.
Candidate must practice punctuality according to the office schedule.
Ability to multi-task and retain accuracy in an environment of competing deadlines.
Good oral and written Spanish communication skills required.
Effective oral and written English communication skills, including clear speaking voice, required.
Good spelling and grammar required.
Supportive and respectful of the mission and tenets of the Roman Catholic Church; experience in Roman Catholic environment preferred.
Knowledge of basic tenets of Catholic Church and parish structures.
Must have a professional demeanor with friendly and service-oriented disposition.
