Essential Duties and Responsibilities:
Maintain a professional atmosphere in the school and the Main office.
The Front Desk Receptionist will be responsible for coordinating the happenings and inner workings of the school.
Greet visitors and determine whether they should be given access to specific individuals.
Answer the main office phone, take messages, perform general office duties such as ordering supplies, maintaining records management systems, and perform basic bookkeeping work.
Open, sort, and distribute incoming correspondence; Prepare responses to correspondence.
File and retrieve School documents, records, and reports.
Prepare agendas and make arrangements for committee, board, and other meetings.
Prepare invoices, reports, memos, letters, presentations and other documents, using Microsoft Office suite as needed.
Set up and oversee administrative policies and procedures for offices and/or the organization.
Interpret administrative and operating policies and procedures for employees.
Work as a team member with the staff members and volunteers to ensure that the office runs smoothly.
Incorporates the teachings of the Catholic Church and Scripture, and the school's vision, into all duties by exemplifying respect for others, good stewardship of resources, and professionalism in all duties performed.
Minimum Requirements:
Faith: This position must be held by an individual who is an active member of the Catholic Church and in good standing with the Church. There is no other background that can substitute for this requirement.
Education: This position requires a high school diploma. Other background that may substitute for this requirement is listed below.
Experience: This position requires at least one year of experience in a secretarial or administrative position, preferably in an executive setting. Some experience with project management is preferred. Some experience with collecting and formatting information is also preferred. Proficient experience with Microsoft Office applications is required.
Or other background demonstrating application of the following knowledge, skills, and abilities:
Ability to use Microsoft Office Suite effectively and efficiently.
Above average computer skills and a willingness and aptitude to learn new software tools.
Ability to apply the teachings of the Church to project planning and communications responsibilities to the School.
Ability to model and articulate the teachings of the Church for students who may be troubled or in crisis.
Ability to work as a member of a team.
Ability to communicate effectively on an individual basis to other employees as well as students and families.
Ability to nurture positive relationships with students and families.
Enthusiasm for working with young people.
