Kolbe Academy seeks a Bookkeeper, who will report to the Chief Operating Officer. This role will be responsible for managing many facets of the Kolbe Academy Business Cycle. To ensure success, you will need extensive knowledge of: common bookkeeping and inventory protocols, establishing and maintaining sales and vendors in multiple states, common sales and business practices relating to non-profit operations and education, and payroll processing protocols and requirements. Duties including and not limited to AP/AR oversight, monthly reconciliations, benefits and deductions reconciliation with HR, as well as managing and maintaining of monthly expenses and bills. Kolbe Academy manages tuition income for over 2500 students throughout the US and the World, and this individual will work with registrars and customer service regarding tuition management, delinquency notifications, and other impacts of AP/AR as it pertains to education and operations.
Kolbe Academy is looking for a candidate with excellent organizational and planning skills, who is detail oriented, and can communicate well while displaying strong attention to detail Faithfully Catholic individuals with experience and success in remote work related to this field are encouraged to apply. Management experience is desired but not required, and work schedule, and commitment may be negotiable based on experience and availability.
Top Candidates will have experience managing common bookkeeping practices within a small to mid-size organization, who will be comfortable involving themselves as needed within other departments, and one which can maintain the confidence that such a role requires. The bookkeeper will work with local staff on the receipt of monthly accounts receivable and payable, ensuring that all bills and invoices are paid appropriately, and accounted for monthly. Working with the Fulfillment Manager and local staff to ensure that inventory, purchase orders and sales from the bookstore are accounted for appropriately, regularly, and that we meet federal and state guidelines for payment in light of bookstore sales. The ideal candidate would be familiar with Sage Accounting (formerly Peachtree Accounting) and other accounting operation systems, and would be comfortable working and accessing many other systems of records, such that monthly reconciliation of all GL Accounts can be done in a timely and skillful way. Some payroll and HR experience would be beneficial as this role will work closely with the HR and Payroll Administrator, and may serve in some capacities as a backup to that position.

-Inventory Management Practices for Reselling (Bookstore)
-SAGE Accounting, QUICKBOOKS or other similar software
-Experience in the hiring, and support and training of staff/faculty
-Communicating and negotiating with employees and staff regularly
-Detail oriented decision making and reporting
-Creating Policy, and Training Documents around departmental functions and duties
Skills and Qualifications
-Relevant Degree Preferred but not required. Experienced bookkeepers only
-Prior supervisor/management experience preferred
-Prior Experience with General Ledger Systems required
-Experience with SAGE preferred but not required
-Experience in managing tax preparations
-Knowledge and experience with applicable Federal and State sales tax laws and IRS (Internal Revenue Service) Regulations that may impact operations
-Superb leadership and collaboration abilities
-Strong project management, multitasking, and decision-making skills
-Exceptional analytical and problem-solving skills
-Strong time management and organizational abilities
Job Requirements
-Remote work available for this position.
-Travel to Kolbe headquarters as needed, as well as travel for work-related projects.
-Position does not require relocation.
