PRODUCTION TRAVEL COORDINATOR
Full-time, Irondale (Birmingham), AL. Not remote eligible
HOW YOU WILL IMPACT THE BIG PICTURE:
The Production Travel Coordinator will coordinate all logistical details to provide a positive guest experience, including travel, transportation, dining services and housing for guests, as well as coordinate details for the Production team and those traveling to the Irondale campus. In addition, the Travel Coordinator serves as a liaison with Accounting and provides reporting assistance to management as needed.
WHAT YOU WILL DO:
Travel/Guest Services:
• Work with Administrative Assistant to the COO, Human Resources, Security and other department staff to coordinate details of transportation and lodging.
• Communicate with show guests, staff and others regarding travel needs.
• Utilize Concur online travel system to make travel reservations and liaison with external travel company as necessary.
• Schedule Guest Services according to needs of guests and staff, including ground transportation, on-campus housing and meals, off-site lodging/transportation.
• Maintain accurate and updated schedules of EWTN transportation, housing, and meals, ensuring timely distribution to required personnel.
Accounting:
• Process invoices and payment requests submitted by department managers/others; review, determine & complete entry of account codes, paperwork, approvals and submit to Accounting department.
• Utilize Concur expense reporting system to process staff expenses as needed.
• Prepare financial reports for COO and management as requested.
General:
• Answer questions for staff and forward requests for company vehicles to the Safety & Security department.
• Schedule conference rooms per request of staff and based on availability.
ABOUT YOU:
• You have a minimum of 3 years of office/administrative experience
• You possess strong computer skills, including Microsoft suite (Outlook, Word, Excel)
• You are extremely detail oriented; have excellent organizational skills and ability to multi-task
• You are capable of setting priorities and accomplishing work within needed timeframe
• You possess excellent verbal & written communication skills
• You are customer service oriented and a strong team player
• You exhibit a professional and approachable demeanor and are able to maintain confidentiality
• You have basic accounting and budgeting knowledge
• You are able to work 8:00AM - 5:00PM; flexibility to handle emergencies that may arise outside of normal business hours
• You have a strong understanding of the Catholic Faith and EWTN's mission
• You have a valid Alabama Driver's License
• You hold an Associate's or Undergraduate degree in related field or have equivalent training and experience.
